We want you to have a great experience with NurtureSync. This policy explains how to cancel your subscription, what happens to your data, and how refunds work.

1. HOW TO CANCEL YOUR SUBSCRIPTION
1.1 Cancellation Process
To cancel your NurtureSync subscription, simply email our support team:
Email: support@nurturesync.io
Subject: "Cancel My Subscription"
Include in your email:
Your organization name
Subscription email address
Reason for cancellation (optional)
What happens next:
1. We receive your cancellation request
2. We verify your account information
3. We calculate your pro-rated refund (see Section 2)
4. We process the cancellation in our system
5. We send you confirmation email with:
Cancellation effective date
Refund amount
Data deletion timeline
Refund processing timeline
We process all cancellation requests within 1 business day.
1.2 When Cancellation Takes Effect
Immediate (Upon Cancellation Confirmation):
Your access to NurtureSync is terminated immediately
You cannot log in or access your data through the app
Any active shared links stop working immediately
Data Deletion Timeline:
Deleted from active systems: Within 31 days of cancellation
Deleted from encrypted backups: Within 42 days total (standard 42-day backup rotation)
Refund Processing:
Calculated immediately upon receiving cancellation confirmation
Processed to your original payment method within 5-10 business days.
2. REFUND POLICY
2.1 You're Eligible for Refunds
When you cancel your annual subscription, you receive a pro-rated refund for the unused portion of your subscription, minus the $500 implementation fee. The date of proration will be from when the email was received.
2.2 Refund Calculation
Your refund is calculated as follows:
Refund = (Annual Price ÷ 365 Days) × Days Remaining in Annual cycle - $500 Implementation Fee
Example 1: Cancel After 6 Months
Annual subscription price: $2,400
Days used: 183 days (6 months)
Days remaining: 182 days
Pro-rated amount: ($2,400 ÷ 365) × 182 = $1,200
Setup fee deduction: -$500
Total refund: $700
Example 2: Cancel After 1 Month
Annual subscription price: $2,400
Days used: 30 days
Days remaining: 335 days
Pro-rated amount: ($2,400 ÷ 365) × 335 = $2,200
Setup fee deduction: -$500
Total refund: $1,700
Example 3: Cancel After 11 Months
Annual subscription price: $2,400
Days used: 335 days
Days remaining: 30 days
Pro-rated amount: ($2,400 ÷ 365) × 30 = $198
Setup fee deduction: -$500
Refund: NONE (pro-rated amount is less than implementation fee)
2.3 What the $500 Implementation Fee Covers
The $500 implementation fee is a non-refundable onboarding charge that covers:
Account creation and configuration
Live support through initial data migration and import
Admin user training and onboarding
Technical setup and integration
Initial system configuration
2.4 Refund Eligibility
You are eligible for a refund if:
You have an active or recently cancelled subscription
You are requesting cancellation within 365 days of subscription start
You have not engaged in fraud or abuse
2.5 Refund Timeline
Processing Time:
Refunds are calculated and processed within 5-10 business days of cancellation
Refund is initiated to your original payment method
Credit Card Refunds:
Typically appear in your account within 3-5 business days
May take up to 10 business days depending on your credit card company
3. WHAT HAPPENS TO YOUR DATA
3.1 Data Access After Cancellation
Immediately Upon Cancellation:
Your access to NurtureSync is terminated
You cannot log in or access your data
Within 30 Days:
Your data remains on our servers (encrypted)
Contact support@nurturesync.io if you need a data export
We can provide a data export in CSV format
3.2 Data Deletion Schedule
Deleted from active systems: Within 31 days
Deleted from backups: Within 42 days (standard rotation)
Completely deleted: By Day 42 after cancellation
3.3 Data Export Before Cancellation
You have the ability to export your data at any time prior to the cancellation of your subscription. Simply log in as an administrator and use the Export function under the Administrator Dashboard. You will not be able to access this once you cancelled your subscription.
4. CAN YOU CANCEL ANYTIME?
4.1 Cancellation Anytime
Yes! You can cancel your subscription at any time. There are:
No long-term contracts
No cancellation fees (other than implementation fee deduction from refund if cancelled within first year)
No penalties for early cancellation
No required notice period
4.2 Cancellation Grace Period
We don't have a formal "grace period," but we understand that sometimes you might cancel by accident or change your mind quickly.
If you cancel by mistake:

Subject: "Restore My Cancelled Subscription"
Explain that you cancelled by mistake
We can often restore your subscription within 24 hours if you act quickly
If restored, your refund is cancelled and your subscription continues
5. REACTIVATION & RE-SUBSCRIPTION
5.1 Can You Resubscribe?
Yes! If you cancel and later want to use NurtureSync again, you can resubscribe anytime.
5.2 Reactivation Process
Option 1: Restore Within 30 Days
If you change your mind within 30 days of cancellation
Email: support@nurturesync.io with "Restore My Subscription"
We can often restore your account with your previous data intact
If the refund has yet to be processed, it will be canceled. If refund has been processed an invoice for the prorated amount will be generated or you will have the option to begin a new annual period.
Option 2: New Subscription
If more than 30 days have passed or you prefer a fresh start
Contact support@nurturesync.io with "New Subscription Request"
We'll send you a new invoice to restart your subscription
A new $500 implementation fee may apply
Your previous data is not restored (was deleted per policy)
6. FREQUENTLY ASKED QUESTIONS
Q: Can I get a refund if I cancel?
Yes! We offer pro-rated refunds for unused time, minus the $500 implementation fee. See Section 2 for details.
Q: How do I request a cancellation?
Email support@nurturesync.io with the subject line "Cancel My Subscription" and include your organization name and subscription email address. We'll process your request within 3 business days and will prorate from the day of email cancellation.
Q: How long do I have to request a cancellation?
You can cancel anytime during your subscription. Just email support@nurturesync.io with your cancellation request.
Q: What if I cancel and then want to resubscribe?
You can resubscribe anytime. If you resubscribe within 30 days, we may be able to restore your account. After 30 days, you'll need a new subscription which can be subject to a new $500 implementation fee.
Q: Will you charge me after I cancel?
No. Once your cancellation is confirmed, no further charges will be made to your payment method. Your subscription ends and your access is terminated immediately.
Q: How long does it take to get my refund?
Refunds are processed within 5-10 business days. Depending on your bank or credit card company, it may take an additional 3-5 business days to appear in your account.
